Where safety staffing usually goes wrong

Most disputes on a staffing contract are not about the work. They are about the invoice. Here is how we structure the things vendors usually leave vague.

Billing you can audit line by line

Every term below appears in our standard quote, before signature, in language with no room to move.

Billed in actuals

You are invoiced for hours actually worked, backed by weekly certified timesheets signed by your site representative. Projections in a quote are for budgeting, never a floor.

No minimums

Strict overtime

The first 40 hours of each workweek bill at straight time. Everything over 40 bills at 1.5x as its own itemized line, never folded into the base.

Never embedded

Line item detail

One row per person, per shift, with straight time and overtime hours and rates shown separately. No grouped headcount, no blended rate.

Per person

Rate stability

Rates are fixed for the term. Any adjustment for tariff or regulatory cost requires your consent and is capped at 15 percent.

Capped

Change control

Any change to scope, headcount, schedule, or shift structure requires a written change order signed by both parties before implementation.

In writing

Standard terms

How coverage gets started

STEP 01

Send the scope

Site, headcount, shift structure, start date, and credential requirements. A phone call works.

STEP 02

Quote in 24 hours

Fully itemized by person and shift, with rates, hours, and terms stated up front.

STEP 03

Credential and mobilize

We verify credentials, complete onboarding and site orientation, and deploy the crew.

STEP 04

Report weekly

Certified timesheets and field reporting every week, straight time and overtime itemized separately.

Where we work

Coverage across active build markets

Crews mobilize to the site. Travel and lodging are handled on our side, so your cost is the rate on the quote.

What You Get

Invoices that do not come back

Every invoice ties line for line to the signed quote. One row per person, per shift, straight time and overtime separated, backed by certified timesheets your site rep already signed.

Documentation that is audit ready every day

Toolbox talks, JHAs, and permits stay current and organized in the field, not assembled the week the auditor shows up.

Findings closed in the field

Our leads close items out on site before they escalate to your safety director or your client.

Answers before you ask

Common questions

How fast can you mobilize a crew?
It depends on headcount, credential requirements, and site onboarding. Send the scope and we will give you a mobilization date with the quote rather than after it. Short notice supplemental manpower and night shift coverage are routine requests for us.
Do you require a minimum number of billable hours?
No. Invoicing is rendered in actuals against hours actually worked and documented by certified timesheets. The projections in a quote exist so you can budget and secure a purchase order, not to set a floor you have to pay against.
How is overtime handled?
Strict overtime. The first 40 hours of each workweek bill at straight time and every hour beyond 40 bills at 1.5 times the applicable straight time rate as a separate itemized line. Overtime is never embedded in the base contract value.
What credentials do your professionals carry?
Standard credentials across the bench include OSHA 500, OSHA 510, OSHA 3115, NFPA 70E, and current CPR and First Aid. Site specific requirements are verified during onboarding, before mobilization, and documented in the compliance snapshot attached to your quote.
Do you cover night shift?
Yes, as a dedicated night crew rather than a rotation borrowed from days. Night hours carry a stated shift differential that is published in the rate schedule and carried through the overtime multiplier, so nothing appears on the invoice you did not see in the quote.
What is the mobilization fee and how is it calculated?
It covers pre deployment coordination, credentialing, onboarding, PPE procurement, and site readiness. It is calculated on the straight time base only, never on projected overtime, and it appears as one clearly marked line on the first invoice.
Which states do you work in?
We mobilize crews to active build markets across multiple states, with concentration in data center corridors. If your site is outside a market listed above, ask. Travel and lodging are handled on our side and are not billed back as a separate charge.
